Travel Terms & Conditions
Effective Date: January 1, 2026
These Travel Terms & Conditions (“Terms”) govern the relationship between Crosswind Travel (“Agency,” “we,” “us,” or “our”) and clients who engage our travel planning services. By booking travel through Crosswind Travel or engaging our services, you acknowledge that you have read, understood, and agree to these Terms.
1. Agency Role
Crosswind Travel acts solely as an independent travel advisor and intermediary between clients and third-party travel suppliers including, but not limited to, cruise lines, airlines, hotels, resorts, transportation providers, tour operators, and travel insurance providers.
All travel services are provided by independent suppliers who operate under their own terms and conditions. Crosswind Travel does not own, operate, or control these suppliers.
2. Travel Planning Fees
Crosswind Travel may charge a professional planning fee for custom travel research, itinerary design, and trip coordination. These fees compensate the agency for time, expertise, and services provided.
Unless otherwise stated in writing, planning fees are non-refundable.
3. Pricing and Availability
Travel pricing and availability are subject to change until reservations are confirmed with a deposit or full payment. Travel suppliers may adjust pricing, taxes, or fees at any time prior to confirmation.
Crosswind Travel is not responsible for price changes or availability fluctuations imposed by travel suppliers.
4. Deposits and Final Payments
Payment schedules are determined by the individual travel supplier. Clients are responsible for submitting all required deposits and final payments by the deadlines established by the supplier.
Failure to meet payment deadlines may result in cancellation of reservations and forfeiture of deposits.
5. Cancellations and Refunds
Cancellation policies are determined by the individual travel supplier. Refunds, if any, are subject to the supplier’s terms and conditions.
Crosswind Travel is not responsible for supplier cancellation penalties, fees, or refund policies.
6. Travel Insurance
Travel insurance is strongly recommended for all travelers. Insurance may provide coverage for trip cancellations, travel interruptions, medical emergencies, and unforeseen travel disruptions.
If you decline travel insurance coverage, you acknowledge that you assume full financial responsibility for any losses related to cancellations, delays, or travel disruptions.
7. Travel Documentation
Travelers are responsible for ensuring they possess valid travel documents including passports, visas, vaccination records, and any other entry requirements required by their destination.
Crosswind Travel is not responsible for denied boarding, denied entry, or travel disruptions resulting from incomplete or invalid documentation.
8. Supplier Changes
Travel suppliers may modify itineraries, schedules, accommodations, or services due to operational needs, weather conditions, mechanical issues, government actions, or other circumstances beyond their control.
Crosswind Travel shall not be liable for losses or expenses resulting from supplier changes.
9. Force Majeure
Crosswind Travel shall not be liable for failure or delay in performance due to events beyond its control, including but not limited to natural disasters, pandemics, acts of government, labor disputes, airline disruptions, war, civil unrest, or supplier insolvency.
10. Limitation of Liability
To the fullest extent permitted by law, Crosswind Travel shall not be liable for injury, loss, damage, delay, or inconvenience arising from travel services provided by third-party suppliers.
Clients agree that Crosswind Travel's role is limited to travel advisory services and booking assistance.
11. Client Responsibilities
Clients are responsible for reviewing all travel documents, confirmations, and invoices for accuracy. Any discrepancies must be reported promptly.
Clients are also responsible for complying with all airline, cruise line, hotel, and destination regulations.
12. Chargebacks
Clients agree not to initiate chargebacks for services that have been delivered in accordance with these Terms. Any payment disputes must first be addressed directly with Crosswind Travel.
13. Governing Law
These Terms shall be governed by and interpreted in accordance with the laws of the State of Texas.
